Legal Administrator – Majid al Futtaim Properties – Dubai
Role Purpose:
The Legal Administrator is primarily responsible for managing a variety of legal and administrative tasks within the AMBU Legal Department to ensure its efficient daily operations.
Role Details – Key Responsibilities and Accountabilities:
- Develop and maintain a database of documents within the AMBU Legal Department, facilitating the retrieval of references and necessary documents for negotiating, drafting, and executing various agreements.
- Assist in processing procedural functions of the AMBU Legal Department under the guidance of lawyers, handling routine matters to alleviate the lawyers’ workload.
- Review legal documents related to contracts requiring lawyer review upon receipt.
- Track and update the status of job requests within the AMBU Legal Department.
- Assist in finalizing agreements by performing tasks such as highlighting textual changes, compiling enclosures, and related duties.
- Review incoming correspondence and notify lawyers of relevant deadlines and notices.
- Provide periodic reminders to the Senior Director – Legal and lawyers as needed.
- Assist lawyers in preparing legal documents, arranging for service, obtaining proof of delivery, and maintaining legal records.
- Allocate legal tasks and job requests among lawyers and ensure adherence to timelines.
- Facilitate the signing of contracts by MAFP, manage document tracking and safekeeping of original agreements.
- Maintain scanned copies for easy reference and retrieval of original documents.
- Prepare legal questionnaires for external legal counsels in countries where AMBU operates to conduct due diligence.
- Assist in preparing standard legal documents using templates.
- Ensure quality assurance of administrative and paralegal work.
- Independently liaise with external lawyers for follow-up on legal matters, monitoring litigation deadlines, and keeping lawyers informed.
- Update internal systems/platforms with necessary information.
- Prepare reports on AMBU Legal Department functions for internal submission.
- Undertake translation tasks as requested by AMBU Legal team members.
- Process invoices from external lawyers in a timely manner.
- Provide miscellaneous administrative support, including organizing meetings and travel arrangements.
- Ensure compliance with MAFP AMBU’s Code of Conduct, Departmental policies, and HC Policies and Procedures.
- Advocate for and embody MAFP values in the assigned area of responsibility.
Personal Characteristics and Required Background:
Minimum Qualifications/education:
- Minimum University Degree. Paralegal degree in Law highly desirable.
Minimum experience:
- Minimum 4 – 6 years of work experience in real estate development, preferably in shopping mall legal administrative matters in GCC in a similar role.
