Junior Administrative Assistant

Job Purpose: The role involves providing essential data entry and a spectrum of administrative services to ensure precision, timeliness, and efficient day-to-day operations within the department.

Key Result Areas:

  1. General Administrative and Clerical Support:
    • Assist with mailing, scanning, faxing, and scheduling daily drivers.
  2. Administrative Services:
    • Support supervisors in organizing and streamlining work processes.
  3. Data Entry and Record Maintenance:
    • Collect and input data into databases ensuring accuracy and timely retrieval.
    • Compile, verify, and prioritize information for computer entry.
    • Review data for errors, correct inconsistencies, and generate reports.
    • Maintain data confidentiality and comply with security policies.
  4. Clerical Duties:
    • Photocopy documents, process forms, and manage office files and records.
  5. Documentation Management:
    • Maintain various forms of documentation such as reports and presentations.
  6. Internal Communication and Coordination:
    • Facilitate communication for awareness campaigns and programs within the department.
  7. Office Supplies Management:
    • Ensure adequate levels of office supplies are maintained.
  8. Additional Responsibilities:
    • Undertake other tasks as assigned by the department head.

Job Context: Junior Admin Assistants provide crucial support in daily office operations, utilizing telecommunication and computer systems to deliver comprehensive administrative assistance.

Knowledge, Skills & Minimum Experience:

Education:

  • Higher Secondary Certificate or equivalent.

Work Experience:

  • Minimum of 2 years in a similar administrative assistant role.

Skills:

  1. Proficiency in MS Office and relevant software applications.
  2. Strong email and internet skills.
  3. Excellent numeracy and keyboard proficiency.
  4. Familiarity with office management systems and procedures.
  5. Effective interpersonal skills for handling public interactions.
