Administrative Officer
Position: Administrative Officer, Information Technology Department
Location: United Arab Emirates, Zayed University
Responsibilities:
- Manage daily schedule and diary for the Director.
- Develop and maintain spreadsheets for AV equipment checkout.
- Update and publish University personnel directory on the Intranet.
- Manage IT inventory, purchases, and related records.
- Coordinate bookings for visual/audio rooms.
- Liaise with vendors and University departments for IT purchases and payments.
- Organize internal and external training courses for IT staff.
- Support technical training programs within the department.
- Prepare documents, reports, meeting agendas, and correspondence.
- Schedule and coordinate meetings, including logistics and catering.
- Handle incoming calls, visitors, inquiries, and requests.
- Manage mail distribution and courier arrangements.
- Design databases/spreadsheets for tracking divisional information.
- Provide document translation services as needed.
- Maintain personnel records for department staff.
- Assist visiting consultants with logistical needs.
Training and Development:
- Design and implement training programs aligned with University strategic goals.
Requirements:
- Bachelor’s degree from an accredited institution.
- Minimum 2 years’ experience in administrative roles, preferably in IT or with senior management.
- Experience in personnel record keeping and inventory management required.
- Proficiency in Microsoft Office, databases, and internet research.
- Bilingual in English and Arabic.
